Refund & Payment Policy

This Refund & Payment Policy applies to all paid services offered through RuhaniRabin.com, including but not limited to Product Diagnostics, WordPress Audits, Consulting Services, and Media Kit partnerships.


Payment Terms

Accepted Payment Methods

We accept payment through the following methods:

  • Credit/Debit Cards (Visa, Mastercard, American Express)
  • PayPal
  • Bank Transfer (for enterprise clients)
  • Other methods as agreed upon in writing

Currency

All prices are quoted in USD unless otherwise specified. Currency conversion rates (if applicable) will be determined at the time of payment processing.

Payment Timing

  • One-time Services (Product Teardowns, WordPress Audits): Full payment required before work commences
  • Consulting Retainers: 50% upfront, remaining 50% upon completion or monthly billing as agreed
  • Media Kit Services: Payment terms are specified in individual agreements, but generally all pre-paid.
  • Subscription Services: Billed monthly or annually as selected

Invoicing

Invoices will be sent via email within 24 hours of service agreement. Payment is due within the timeframe specified on the invoice (typically 7 days for new clients, net-30 for established relationships).


Refund Policy

Product & UX Diagnostic Services

Refund Window: 7 days from delivery of the diagnostic report

Eligible for Full Refund if:

  • The diagnostic was not delivered within the agreed timeframe (unless delay was caused by client)
  • The diagnostic does not meet the scope outlined in the service agreement
  • Technical difficulties on our end prevented proper delivery

Not Eligible for Refund:

  • You disagree with the recommendations provided
  • You decide not to implement the suggestions
  • The diagnostic was completed as described but didn’t meet your expectations
  • You found the feedback “too critical” or “not what you wanted to hear”

WordPress Audit Services

Refund Window: 14 days from delivery of audit report

Eligible for Full Refund if:

  • The audit was not completed within the agreed timeframe
  • Major sections of the agreed scope were not covered
  • The audit contains significant factual errors that impact its value

Partial Refund (50%) if:

  • Minor sections were incomplete but majority of the value was delivered
  • Timeline was exceeded by more than 7 days

Not Eligible for Refund:

  • You decide not to implement the recommendations
  • Your website was found to have more issues than anticipated
  • Third-party plugins or themes are identified as problems

Consulting Services & Retainers

Monthly Retainers:

  • Can be cancelled with 30 days written notice
  • No refund for the current billing period
  • Unused hours do not roll over unless specified in agreement

Project-Based Consulting:

  • Refunds evaluated on a case-by-case basis
  • If project is terminated early, refund calculated based on work completed
  • Initial 50% deposit is non-refundable once work has commenced

Media Kit Services

Twitter/X Placements:

  • Full refund if tweet is not posted within agreed timeframe
  • No refund after tweet is posted (even if deleted later)
  • Guaranteed impressions/engagement metrics do not apply (organic reach only)

Blog Posts:

  • 50% refund if not published within 14 days of agreed date
  • No refund after content writing is started
  • Revisions limited to factual corrections only

YouTube Videos:

  • Full refund if video not published within 30 days
  • No refund after video is published
  • Minor editing requests accommodated; major re-shoots not included

Sponsored Content:

  • Payment terms and refund conditions specified in individual agreements
  • Generally non-refundable once content is published

Free Audits & Consultations

Free audits, initial consultations, and complimentary reviews are provided “as-is” with no refund applicable (as no payment was made).


Refund Request Process

To request a refund:

  1. Submit Request in Writing: Email me by using the contact form with:
    • Original invoice number
    • Service purchased
    • Reason for refund request
    • Supporting documentation (if applicable)
  2. Review Period: We will review your request within 5 business days
  3. Decision Notification: You will receive a written response with our decision
  4. Processing Time: Approved refunds will be processed within 10 business days to the original payment method

Chargebacks & Disputes

Before filing a chargeback, please contact us directly. Most issues can be resolved through communication.

If you file a chargeback or payment dispute:

  • We will provide complete documentation to your payment processor
  • Future services may be declined
  • Legal action may be pursued for fraudulent chargebacks

Late Payment

For invoiced services with payment terms:

  • 1-7 days late: Friendly reminder sent
  • 8-14 days late: Second notice with 5% late fee
  • 15+ days late: Account suspended, 10% late fee, possible legal action

Late fees will be added to the outstanding balance.


Price Changes

We reserve the right to change our prices at any time. Price changes will:

  • Not affect services already purchased
  • Be communicated at least 30 days in advance for subscription services
  • Take effect immediately for new purchases

Taxes

Prices listed do not include applicable taxes (GST, VAT, sales tax, etc.). You are responsible for any taxes required by your jurisdiction. We will add applicable Malaysian taxes to invoices where required.


Failed Payments

For subscription services:

  • First failed payment: Automatic retry in 3 days
  • Second failed payment: Email notification, retry in 7 days
  • Third failed payment: Service suspended, account may be terminated

You are responsible for updating payment information to avoid service interruption.


Cancellation Policy

By You

  • Cancellations must be submitted in writing
  • One-time services: Cancel before work begins for a full refund
  • Subscriptions: Cancel anytime; no refund for current billing period
  • Retainers: 30 days notice required

By Us

We reserve the right to cancel services and provide a full refund if:

  • We cannot deliver the service as described
  • There is a conflict of interest
  • Client behavior violates our Terms and Conditions

Enterprise & Custom Agreements

For enterprise clients or custom service agreements, payment, and refund terms may differ from this policy. Custom terms will be outlined in your specific service agreement and take precedence over this general policy.
